Fred Hutchinson Cancer Center is an independent, nonprofit organization providing adult cancer treatment and groundbreaking research focused on cancer and infectious diseases. The Administrative Coordinator I will be responsible for coordinating and implementing administrative functions for the IT Department under the direction of the Administrative Manager.
Responsibilities
- Assist the Administrative/Project/Program Manager and staff with the implementation and administration of Center and department/project(s)/program policies and procedures
- Act as a liaison with Center staff and outside individuals/organizations, answering questions and resolving problems with regard to the administration of the department/project(s)/program
- Supervise administrative and clerical staff to include hiring, training, delegation of responsibilities, performance evaluations, and handling discipline and termination issues
- Coordinate personnel administration functions including submission of employment requisitions, salary administration, payroll processing, separations, coordination of performance evaluations, and various personnel form completion
- Coordinate project space and facilities and administer changes as required
- Manage acquisition, maintenance, storage, and supply of equipment
- Coordinate the production, printing, and distribution of new and revised Center and department/project(s)/program manuals
- Recommend and implement policies and procedures related to department/project(s)/program administration
- Perform administrative and clerical responsibilities including scheduling meetings, conferences and seminars; collecting and compiling a variety of billing and statistical information; composing memos, reports and minutes; establishing and maintaining department/project(s)/program files in hard copy and database form; producing/overseeing the production of manuscripts and publications
- Assist Administrative/Project/Program Manager and Investigators with special projects
- Perform other responsibilities as required
Skills
- Requires High School/GED and five years of administrative or relevant experience OR equivalent education/experience
- Experience building working relationships virtually and in person with internal and external partners
- Proven ability to engage individuals on the phone, by email, and in person
- Excellent written, verbal, and interpersonal communication skills
- Highly developed organizational and information management skills
- Critical thinking and creative problem solving
- Ability to handle and respect confidential and sensitive information
